This Returns & Refunds Policy explains the conditions, process, and timelines for returning XENOVA products and requesting refunds. By placing an order with XENOVA, you agree to the terms outlined below.


1. RETURN ELIGIBILITY

XENOVA offers a limited return window to allow customers to evaluate their product with confidence.

To be eligible for a return:

  • The request must be initiated within 30 days of delivery

  • The product must be in original condition

  • The product must include all original accessories, packaging, and documentation

  • The product must not show signs of misuse, damage, or unauthorized modification

Returns that do not meet these conditions may be declined.


2. NON-RETURNABLE ITEMS

The following items are not eligible for return:

  • Products damaged due to misuse, accidents, or improper handling

  • Products modified or repaired by unauthorized parties

  • Items with missing or altered serial numbers

  • Accessories or promotional items unless defective

  • Software issues unrelated to hardware defects

Custom or special-order configurations may have additional restrictions.


3. HOW TO REQUEST A RETURN

To request a return:

  1. Contact XENOVA Support within the return window

  2. Provide your order number and reason for return

  3. Follow the return instructions provided by our support team

Returns sent without prior authorization may not be accepted.


4. RETURN SHIPPING

  • Customers are responsible for return shipping costs unless the return is due to a verified defect or shipping error

  • Products must be securely packaged to prevent damage during transit

  • XENOVA is not responsible for items damaged during return shipping

We recommend using a trackable shipping service.


5. INSPECTION PROCESS

All returned products are inspected upon receipt.

During inspection, we verify:

  • Product condition

  • Completeness of packaging and accessories

  • Compliance with return eligibility requirements

Inspection may take up to 7 business days after receipt.


6. REFUND PROCESSING

If a return is approved:

  • Refunds are issued to the original payment method

  • Refund processing may take 5–10 business days depending on the payment provider

  • Original shipping fees, duties, and taxes may not be refundable unless required by law


7. PREORDERS & BATCH-BASED ORDERS

For pre-order or batch-based purchases:

  • Cancellations may be allowed before production begins

  • Once production has started, cancellation or refund eligibility may be limited

  • Estimated shipping timelines are provided at checkout and in order confirmation

Please review batch details carefully before placing an order.


8. DEFECTIVE OR DAMAGED PRODUCTS

If your product arrives defective or damaged:

  • Contact XENOVA Support within 7 days of delivery

  • Provide photos and a description of the issue

  • Verified issues will be addressed under warranty or replacement policy


9. EXCHANGES

XENOVA does not guarantee direct exchanges.
Approved returns may be refunded, and a new order can be placed if desired.


10. REGIONAL RIGHTS

This policy does not affect your statutory consumer rights under applicable local laws.

Customers in certain regions (such as the EU or UK) may have additional rights that override parts of this policy.


11. ABUSE PREVENTION

XENOVA reserves the right to refuse returns or refunds in cases of:

  • Repeated return abuse

  • Fraudulent claims

  • Misrepresentation of product condition
